Pathways Announces the Release of V5.16.56 that addresses Client Status Collection

Effective Monday night on December 27, 2010, Pathways will release V5.16.56. This Release will address changes being made to the system to enhance the collection of certain Client Status information at Program Entry, and Program Exit.

The HUD Standards require that four data elements be collected at each program entry and that one of them also be collected at each program exit.

Currently, the data elements mentioned below are collected, but not directly associated with any Data Collection Stage. The elements are stored in Client Status Collection records, which also include the client and agency identifiers and the data collection/verification/"as of" date.

The four Data Collection Stages are (1) Program Entry, (2) During Program Enrollment, (3) Program Exit and (4) Follow-up. Automatic association of Client Status Collection records with a Data Collection Stage is required for Entry and Exit. The other two stages are implied from the collection date.

Therefore, these requirements exist:
We will collect the following data elements at Program Entry (Enrollment) time and automatically associate them with the Program Entry stage for that program:
-Residence Prior to Program Entry (Type of Residence and Length of Stay in Previous Place,
-Zip Code of Last Permanent Address (Quality code and value)
-Housing Status
The above fields will be referred to as the Client Status Fields in this document.

We will collect the following data element at Program Exit (Discharge) time and automatically associate it with the Program Exit stage for that program:
-Housing Status

Under certain conditions, we will force the collection of the elements during program entry and exit. The conditions will be based on:
-If the agency as a whole collects this Client Status information at all
-The program type
-Whether the client is an adult, child or unaccompanied minor

Agencies are allowed to “opt out” of collecting Client Status information (e.g.,if they do not need it for funding). For such agencies, the data elements mentioned here will not be displayed at all.

For agencies that DO collect Client Status information, if collection of a particular data element is not required under certain conditions, it will still be allowed (the data elements will still be displayed and data entry will be enabled).
